COVID-19 Travel Credits Policy – use by year end 2023!
Please use your travel credits by 2023. Kindly scroll down to see standard policies that also apply. By signing our Liability Waiver and/or our Registration Form and/or placing a deposit on a trip, you recognize that all of these terms and conditions apply.
When Canyon Calling cancelled or postponed a trip related to or due to COVID-19, guests under deposit on that trip were issued a travel credit equal to the amount they’ve paid.
Travel credits can be transferred to re-bookings, but are not refundable at any time. Two complimentary trip transfers will be accommodated for any reason, and based on trip availability. Trip transfers will be charged $100 per transfer after the first two, unless medical conditions exist.
We will confirm if a trip will be able to operate or not prior to the final payment timeline, which is 30 days prior to the trip start date for US domestic trips, and 60 days prior for international trips.
Travel credits are transferrable to another woman. All transfer requests must be received in writing/email.
Travel credits are applicable to any Canyon Calling trip departure that has availability. Canyon Calling reserves the right to refund any travel credit that has been unused for over two years and/or based on our discretion.
If the rebooked trip is priced higher than the original trip, the guest is responsible for the difference. If the rebooked trip is priced lower than the original trip, the guest will receive a travel credit for the difference with the same travel credit terms, or may receive a refund in the difference in price based on Canyon Calling’s discretion.
Health & Safety Guidelines: We work with our partners on a trip by trip basis and have implemented measures to follow health and safety recommendations. We are also asking you to practice self leadership when choosing to travel in the foreseeable future.
- NEW as of March 1, 2023: Many of our global partners and travel suppliers are easing covid vaccination requirement protocols for 2023. Guests booking a trip that begins on or after March 1, 2023 will no longer be required to be vaccinated against Covid-19 to travel on a Canyon Calling adventure. We will update this policy as needed.
- If a guest tests positive for COVID-19 while on tour, they will be required to isolate and assisted to leave the trip at their own expense. The rest of the group will be notified of the exposure and we’ll encourage everyone to test as well, both for their health and the health, safety and welfare of the group. Your Trip Leader will help the affected guest to contact a local medical professional if the guest chooses, so they can evaluate the guest’s symptoms and provide appropriate guidance regarding treatment and care. Guests who have tested positive for COVID-19 will not be permitted to rejoin the trip.

Standard Cancellation / Refund Policies and Switching Trips
Your booking is not confirmed and payment is not deemed made until the deposit is received by Canyon Calling, and you receive a confirmation email receipt. Your reservation may be automatically canceled if deposit is not received by Canyon Calling by the deposit due date. On certain departures, deposits may be required at time of booking to hold or to confirm space depending on the proximity of the trip departure date and within final payment timelines. Payment of the deposit indicates that the registered traveler(s) have read and accepted these Terms and Conditions.
Canyon Calling is not responsible for any costs of visas, equipment, canceled land and/or air reservations in the event payment is not received by the final payment date and/or if the traveler has made and paid for any arrangements before the final and formalized trip is announced as an official ‘go’. This will occur at minimum 30 days prior to departure for US domestic trips and at minimum 60 days prior to departure for International trips.
Canyon Calling highly recommends the purchase of trip cancellation and interruption insurance, medical and evacuation, and covid coverage upon paid deposit of your trip.
Notification of cancellation for any trip must be received in writing to us via email at trips@canyoncalling.com or via mail.
There are two required forms which must be read, signed and returned to Canyon Calling no later than with final payment. These forms are the Liability Risk Form / Liability Waiver and the Medical Info Form. Trip participation may be denied to a registered (and fully paid) guest if these forms are not returned in a reasonable time, not to exceed trip start date.
US Domestic Trips: Deposit is $500. Full payment is due 30 days prior to trip departure.
31 + days prior to travel OR when the ‘go’ notice is given (whichever comes first) for trips under deposit will incur an administrative fee of $200. The remaining deposit amount can be applied to another trip in the form of a travel credit or a refund may be issued.
30 days or less prior to trip start date – 100% of the total trip cost is nonrefundable.
International Trips: Deposit is $1000. Full payment is due 60 days prior to trip departure.
61 + days prior to travel OR when the ‘go’ notice is given (whichever comes first) trips under deposit will incur an administrative fee of $400. The remaining deposit can be applied to another trip in the form of a travel credit or a refund may be issued.
60 days or less prior to trip start date – 100% of the total trip cost is non-refundable.
Cancellation charges reflect the many expenses Canyon Calling is unable to recover if you cancel, even if you must do so due to illness, injury, or personal emergencies. These fees are not meant to be punitive. The charges made reflect the expenses Canyon Calling has incurred in administering your reservation and planning for your participation. Please understand that once you’ve signed up, we lose the right to sell your reserved space to other individuals or groups. We recognize that the majority of those who cancel their reservations do so out of necessity. Please note that we do not make any refunds for any unused portion of your trip, not arriving, arriving late, or leaving the trip early. We strongly recommend travel insurance.
Please Note: When a credit card is used for payment and you need to cancel, your refund may be in the form of a check depending on the processing time between payment(s) and cancellation.
Single Supplements
Double occupancy is standard on our trips and on rare occasion you may be assigned a large triple room with two other travel companions. Many first time travelers can’t imagine sharing a room with someone whom they’ve not met and so they request a single supplement. But what they soon discover is that sharing a room on a women’s adventure trip works out perfectly well – especially with our policy of rotating roommates when we change locations. Some guests who have requested and paid for their own room have told us that they feel like they missed out on some of the camaraderie. Others who need more alone time have told us that having their own room enhanced their travel experience. Also, we all may snore especially when over-tired, so if you are a snorer that requires a “sleep machine” please bring it for your comfort as well as the comfort of your travel roomie.
Any guest choosing a single supplement recognizes that a “supplement” means in addition to the regular advertised price of the tour. The price of the supplement will be approximately the cost of one room for as many nights as the tour is in length, less the pre-budgeted amount of the hotel in the trip cost. Because prices change constantly, we are not able to post single supplement prices but we will make them available upon request.
Photography & Model Release
We take photos on our tours – a lot of photos! We have a central repository for the women on the specific group trip to access these photos and share as they wish. Sometimes a great trip photo will make it on our website or in a promotion! From time to time we also invite a professional photographer to accompany the trips for media assets. You, our valued guest, may be a Photographed Party. The Photographed Party hereby grants consent to Canyon Calling Adventures for Women and their photographer, its agents, employees, contractors, licensees, and successors in interest, and authorizes the use of any and all photographs taken of the Photographed Party, and reproduction of them in any form in the media whatsoever, and in any derivative work based thereon. If for any reason you choose not to have your image repurposed, please tell us and we will ensure photos of you will not be used.
Credit Cards
Yes, you can pay online. Our online payment option allows for deposit only, however you may pay by credit card for the full trip balance when it is due simply by calling us at +1.928.284.8654 with your credit card information.
The Fine Print
Canyon Calling reserves the right to decline to accept or to retain any participant at any time, on any trip, without refund; to modify the schedule or equipment as necessary; to cancel any trip for any reason such as safety, low registration or other circumstances; or to change prices if the $USD falls or inflation rises unexpectedly. All travel companies price and offer their upcoming trips well in advance of the travel date. When inflation unexpectedly rises sharply within a short period of time, Canyon Calling reserves the right to charge each trip guest/traveler a supplemental fee in order to operate the trip.
Force Majeure: In the event that any obligation by Canyon Calling is prevented or delayed by circumstances which are not within the control of Canyon Calling, Canyon Calling will be excused from any failure to perform any such obligation under these terms and conditions to the extent that such failure is caused by any such circumstances. This may include but is not limited to:
(a) natural events
These may include earthquakes, floods, fire, plague, pandemics, Acts of God, and other natural disasters.
(b) political and special events
These may include terrorism, riots or civil disturbances; war, whether declared or not; strikes, change of law or regulation, nuclear or chemical contamination, and failure of public infrastructure.
Please note that Canyon Calling cannot be responsible for any traveler’s costs such as nonrefundable airline tickets, change penalties, passport or visa fees, equipment, etc. as a result of cancellation of a trip due to any reason. Also, we ask registered guests/travelers to wait to book flights, and any other trip related expenses that are nonrefundable, until they hear from us that the tour departure is an official “go”. Our guests always have the option of purchasing a fully refundable fare if they want to book their airline tickets in advance of the ‘go’ notice. Thank you!
